Quote, sign, invoice, paid. Final cuts unlock on payment.

Beta

Build the quote, get it accepted online with a typed signature, and turn it into an invoice your client pays through Stripe. The portal will hold the final video back while the final invoice is outstanding. All of it lives in the project it belongs to.

What video production invoicing software actually does

Video production invoicing software handles the money side of a job: the quote that sets the price, the client's sign-off on it, the invoices that follow, and the payment that closes it out. For a studio that is rarely one bill. There is often a deposit before the shoot and a remainder before the final files go out.

A general accounting tool can send an invoice. What a video studio needs on top is the link between the money and the work: a quote priced from crew days, gear and edit time, an invoice made from that quote instead of typed out again, and a final delivery that waits on the final invoice without anyone having to police it.

A quote your client can sign without making an account

Build the quote from line items, send it from the project, and your client accepts it on a page headed by your logo, in your brand color. Their typed name is the signature.

  • Line items, rates and tax: Give each line item a quantity, a rate, a discount and, where tax applies, a tax rate. Group them into sections and drag them into order. Crew, equipment and expenses can come straight from your own rate lists.
  • Templates for standard packages: Save a quote as a template and load it on the next job, so a standard package is never rebuilt from scratch.
  • Accept, decline or request changes: A project's quote goes out with its PDF attached. Your client can accept it, decline it, or ask for changes, and accepting takes their full name, their email and a tick in the agree box.
  • Acceptance alerts and expiry: Owners, admins, producers and accounts staff get an email and an in-app notification when a quote is accepted. A quote past its valid-until date can no longer be accepted.

Invoice from the quote, get paid through Stripe

Turn an accepted quote into an invoice with its line items carried across, send it, and your client pays through Stripe Checkout from the page the invoice email links to, with no login. A client manager also sees the billing tab in their portal and can pay from there. When Stripe confirms the payment, the invoice marks itself Paid.

  • Deposit, remainder or in full: On the Deposit + Remainder workflow, which is the default, bill the whole quote, a deposit, or the remainder. You choose the deposit percentage when you generate the deposit invoice.
  • Your own Stripe account: Payments are charged on your studio's own Stripe account, which an owner or admin sets up once in Settings.
  • The final video's download gate: A final deliverable video opens to the client once every final invoice on the project is marked Paid. Until then, the portal holds the video back, and a client manager sees its download button marked Locked, with a Payment Required note.
  • Which invoices count as final: A final invoice here means the remainder, a full-payment invoice, or the last invoice of a milestone schedule. An unpaid deposit never holds anything back.

Stop chasing payments by hand

Once an invoice is sent, MyStdio emails reminders on its own: ahead of the due date, on the day, and after it if the invoice runs late, each one sent once.

  • They are on by default, and you can switch any of them off in Settings.
  • While the invoice can still be paid online, the email carries a Pay Now button.
  • For a project's invoice, reminders go to the people on the project team who get invoice notifications and to your accounts staff, so add your client manager to the team and they are reminded too.

Eight things to check in any invoicing tool

The first three are about the quote. The last five are about everything that happens after your client says yes.

  • 01

    The quote speaks video production

Crew days, gear and expenses priced from your own rate lists, grouped into sections, with discounts and tax where you need them, on a quote headed by your logo.

  • 02

Your client can accept without an account

The quote arrives as a link to a page with your logo on it. Your client reads it, then accepts, declines, or asks for changes, without signing up for anything.

  • 03

An acceptance records who said yes

A typed full name acts as the signature. MyStdio keeps it with the email, the IP address and browser it came from, and a copy of the terms as they stood when your client accepted.

  • 04

The invoice is made from the quote

Typing a quote out again as an invoice is where the numbers drift. Generate the invoice from the accepted quote and its line items come across. On the default Deposit + Remainder workflow you can bill the whole amount, a deposit, or the remainder.

  • 05

Clients pay into your own Stripe account

Payment runs through Stripe Checkout and is charged on your studio's own Stripe account. Stripe's processing fees and a MyStdio platform fee come out of each online payment.

  • 06

Paid means paid, without you marking it

When Stripe confirms an online payment, the invoice marks itself Paid. A bank transfer or cash payment you record by hand does the same once it covers the invoice.

  • 07

Reminders go out without you sending them

Reminder emails go out before the due date, on it, and after it, each one once, on by default, to your accounts staff and whoever gets invoice notifications on the project team (for an invoice with no project, at the client company).

  • 08

    Delivery knows about the money

A final deliverable video opens to the client once every final invoice on the project is marked Paid. Until then the portal holds it, and you can still release any single deliverable yourself.

MyStdio answers yes to all eight.

Eight steps from first quote to final payment

The billing side of one job, in the order it happens, with every document kept in the project it belongs to.

  1. 01Build the quote

Add line items, pull crew, gear and expenses from your rate lists, drag everything into order, and set a valid-until date. The total adds itself up.

  2. 02Send it from the project

  3. 03They accept online

  4. 04Turn it into an invoice

  5. 05Send the invoice

  6. 06They pay through Stripe

  7. 07The final video waits

  8. 08The final invoice is paid

How MyStdio handles the money

Quotes priced from your rates

Line items with quantities, discounts and tax, grouped into sections, with crew, equipment and expenses pulled from your own rate lists. Save any quote as a template for the next job.

A signature with a record behind it

Your client types their name to accept. The acceptance keeps their email, IP address and browser, and a copy of the terms they agreed to.

Invoices made from the quote

Generate the invoice from the accepted quote and the line items come across. On the Deposit + Remainder workflow, bill the whole amount, a deposit or the remainder.

Paid through your own Stripe

Stripe Checkout charges the payment on your studio's Stripe account, and the invoice marks itself Paid when Stripe confirms it.

Reminders you do not have to send

Emails before, on and after the due date, each sent once, on by default and switchable one by one in Settings, to your accounts staff and whoever gets invoice notifications on the project team (for an invoice with no project, at the client company).

Delivery tied to the final invoice

A final deliverable video opens to the client once every final invoice on the project is marked Paid. Until then the portal holds it, and you can still release any single deliverable yourself.

Common questions

Video production invoicing software covers the money side of a job: pricing it in a quote, getting the client's sign-off, billing a deposit and a remainder, taking the payment, and following up on the late ones. The useful kind is tied to the work itself, so the invoice sits in the same project as the cut and the final delivery.
You send the quote from the project, and your client opens a link to a page with your logo on it. They accept by typing their full name, which acts as their electronic signature, adding their email, and ticking the agree box, with no account needed. They can also decline or ask for changes, and a quote past its valid-until date can no longer be accepted. Owners, admins, producers and accounts staff get an email and an in-app notification when a quote is accepted.
Yes. Deposit + Remainder is the default payment workflow. From an accepted quote you generate the deposit invoice first, choosing its percentage as you do, and the remainder invoice when you are ready to bill it. There are also workflows for full payment upfront, payment on completion, a milestone schedule, and billing handled outside MyStdio.
Through Stripe Checkout. An owner or admin sets up Stripe once in Settings, and from then on each invoice email has a View Invoice button that opens a page where your client can pay, with no login needed. A client manager also sees the billing tab in their portal and can pay from there. Payments are charged on your studio's own Stripe account, and the invoice marks itself Paid when Stripe confirms the payment. Paid by bank transfer or cash instead? Record it by hand, and the invoice updates the same way.
Yes, and for a final deliverable video it is how a project behaves by default. A final deliverable video opens to the client once every final invoice on the project is marked Paid. Until then the portal holds the video back, and a client manager sees its download button marked Locked with a Payment Required note. A final invoice here means the remainder, a full-payment invoice, or the last invoice of a milestone schedule. An unpaid deposit never holds anything back. You can still release any single deliverable yourself with one switch. With your deliverable workflow set to On Payment, extra deliverable files are held too while a final invoice is outstanding, and the next final invoice marked Paid releases them; a later refund does not lock a released file again. A project you bill outside MyStdio skips the lock entirely.
Yes. Once an invoice is sent, reminder emails go out on their own: ahead of the due date, on the day, and after it if the invoice runs late, each one once. They are all on by default, and each can be switched off in Settings. For a project's invoice, reminders go to the people on the project team who get invoice notifications and to your accounts staff, so add your client manager to the team and they are reminded too. While the invoice can still be paid online, the email carries a Pay Now button.
The quote builder, invoicing and Stripe payments are on every plan, including Free. Free holds up to 5 quotes and 5 invoices, and drafts, accepted quotes and paid invoices all count toward that, while every paid plan removes the cap. Paid plans start at $19/month on Solo. Online payments carry Stripe's own processing fees plus a MyStdio platform fee taken from each invoice payment, and Settings shows your rate before you connect. All prices are in USD.
Yes. Quotes, invoices and Stripe payments are a public Beta, open to every studio on every plan with nothing to request, and the builder carries a Beta badge in the app. Taking payments online also needs a Stripe account in one of the countries listed in Settings. That list is shorter than Stripe's own: Brazil, for one, is not on it.
